Office Assistant - Full-Time/Part-Time

Full job description
The Office Assistant performs various functions in the office settings in Electrical Construction environment that will assist the office needs with coordination of the daily operations such as receiving and directing phone calls, emails, greeting vendors, filing, copying, faxing, sorting, scheduling, data entry, office errands when required, and supply orders. Coordinate traveling and obtain travel information, including mapping.
DUTIES & RESPONSIBILITIES:
Answer and direct incoming calls, screening, and routing of phones calls and emails in a professional manner.
Route messages to personnel, Retrieve messages from voice mail and forwards to appropriate personnel.
Answer questions for callers regarding the organization with provided instructions, including address, directions, etc.
Review and maintain all email inboxes correspondence up to date.
Welcome on-site visitors, assist them appropriately, and always provide excellent customer service to both the visitors and fellow staff members.
Perform other administrative or clerical duties such as filing, photocopying, and collating as needed. Create and prepare Work order/Service Orders. Collect receipts and invoices from field workers. Assist with Licensing documentation.
Collect Work Orders. Review all documentation is attached to work order prior to submission.
Create all electronic files, scanning and uploading documents, Convert AWR and Proposals into Job.
Prepare Service request into a Service order, DWR and DCO
Obtain COI when required.
Computer literacy required in Microsoft Word and Excel with word processing and spreadsheets.
Maintains front office area to present a clean and professional environment, including inventory. Archive using the matrix system.
Adheres to established safety, confidentiality, compliance, and legal requirements.
Must have reliable and consistent attendance and comply with Company guidelines on attendance.
Performs other duties as assigned.
Billing and setting up service calls.
Able to add and subtract two-digit numbers and to multiply and divide with 10’s and 100’s
Able to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
Able to deal with problems involving a few concrete variables in standardized situations.
Demonstrated and proven ability/experience in accomplishments in all our five core values:
