This position has three aspects to it:
• Administrative;
• Human resources; and
• Facilities management
Administrative:
• Collaborate with Managing Partner to identify and deliver the required administrative support operations for the firm.
• Review, design and improve current processes and coordinate organisational procedures for optimised efficiency and productivity.
• Build and develop relationships with lawyers and staff members for increased efficiency and responsiveness into existing operations, and use that knowledge to define new operational strategies.
• Allocation of office spaces and planning of seating
• Ensure smooth flow of information within the firm to facilitate operations
• Monitor costs and expenses to assist in budget preparation
• Supervision of maintenance activities, dealing with building personnel
• Organize and supervise other office activities (recycling, renovations, event planning etc.)
• Maintenance of client lists and other repositories in the office.
• Ensure operations adhere to policies and regulations
• Keep abreast with all organizational changes and business developments
• Maintain confidentiality of sensitive information
• Managing the Travel desk for travel requests
• Manage administrative work such as mailing, file maintenance, record-keeping, MIS
Human Resources:
• Function as human resources point person, including, onboarding, hiring, grievance handling, making and implementing leave policies and other policies, exits, managing and tracking leaves, dealing with lawyers and staff on discipline and other issues.
• Managing benefits.
• Maintaining employee records.
Facilities Management:
• Monitor inventory of office supplies, furniture, equipment, etc. and the purchasing of new material with attention to budgetary constraints
• Managing day-to-day facilities at the firm.
Requirement
• Strong organizational skills that reflect the ability to perform and prioritize multiple tasks, seamlessly with excellent attention to detail.
• Very strong interpersonal skills and the ability to build relationships with stakeholders, especially with senior leadership.
• Expert-level skills in written and verbal communication.
• Demonstrated proactive approaches to problem-solving with strong decision-making capability.
• Highly resourceful team player, with the ability to also be extremely effective while working on independent assignments.
• Proven ability to handle confidential information with discretion, be adaptable to various competing demands.
• Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
• Outward looking, who actively seeks opportunities and proposes solutions.
• Not staying restricted to what has been assigned only but always looking to add value for process improvement and standardization.
• High Project Management ability and ability to close tasks showing tangible results.
• Willingness to travel and be available on priority and as a fall back for the Managing Partner.
• Preference will be given to candidates with professional services/consultancy firms (law firms, consultancy firms, financial institutions, investment banks etc
