Finance and Administration Officer (Part-time)
To administer the financial accounts function of the Institute and support with the general administration of events and general office tasks.
Key accountabilities
· Administration of the Institute’s financial transactions using QuickBooks software, including invoicing, expenses and purchase activities. Matching payments of membership subscriptions with internal membership management system. Issue refunds and credits.
· Reconciliation of PaySafe and GlobalPay card payments.
· Monthly account reconciliation and account reporting.
· Quarterly VAT returns.
· End of year accounts preparation and liaison with financial auditors.
· Assists office receptionist function, answers telephone calls / answerphone messages and general administration function.
· Provide back-up and assistance with administration of events including processing delegate bookings, speaker liaison, allocating CPD and occasional event attendance duties.
· Filing (paper and electronic) in accordance with Institute procedures.
· Provide low level resilience and user configuration to office IT systems including regular backup of data.
· Ensure that office systems operate in an efficient manner and maintain or improve to meet performance criteria.
Decision Making
· The job holder reports to the Chief Executive.
· The job holder will liaise, assist and cooperate with other staff members as required.
· Overall, the job holder will work in accordance with IHE’s established procedures and guidelines.
Financial impact and Authority
· The job holder has responsibility for maintaining financial records.
Knowledge, Skills and Experience
Knowledge
· Knowledge of accounting software systems, preferably QuickBooks.
· Knowledge of general office IT software including Microsoft Office package.
· Knowledge of database software.
Skills
· Accuracy of input and financial acumen.
· Highly numerate, good keyboard IT skills, detail conscious and well-organised.
· Excellent oral and written communication skills.
· Collaboration
Experience
· At least 3 years experience in an accounts or related role.
· Experience in handling and responding to accounts queries and dealing directly with suppliers and or customers.
· Experience of monitoring processes against performance criteria.

Pay: £13.50-£16.00 per hour
