EXECUTIVE / PERSONAL ASSISTANT OPHTHALMIC SCRIBE | Hybrid position (in-office/remote) - Calgary

Your tasks at a glance

You provide high-level administrative support to the executive within the specialty of Ophthalmology, including managing schedules, emails, and correspondence.
You coordinate meetings, appointments, and travel arrangements (domestic and international).
You handle personal tasks such as event planning, and personal errands.
You prepare reports, presentations, and documents as needed.
You serve as a liaison between the executive and internal/external stakeholders.
You manage special projects and ensure deadlines are met.
You conduct research and compile data for decision-making purposes.
You maintain organization of files, records, and confidential documents.
You assist in financial management, including expense tracking and budget coordination.
A clear view of your assets

You have proven experience as an Executive or Personal Assistant, preferably supporting senior-level executives.
Your experience in a medical environment is considered an asset.
Your experience in Ophthalmology Optometry is considered an asset.
You have exceptional organizational and time-management skills.
You have strong written and verbal communication skills.
You handle multiple tasks with a high level of accuracy and efficiency.
You are proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
High level of discretion and professionalism when handling sensitive information.
You have strong problem-solving skills and the ability to work independently.
Required: You are available to occasionally work outside of standard business hours when necessary.
Schedule: You have flexible work availability Monday to Friday (mostly remote 1 day p/week in clinic).
