The Role
An exciting and rewarding opportunity has become available for an experienced Executive Assistant to join the Keyton team on a 12-month fixed term contract.
Based in our Sydney office, the successful candidate will be responsible for providing high quality senior executive assistance and administrative support to Keyton’s Head of Resident Operations. This role is expected to commence in early October.
Reporting to the Head of Resident Operations, your responsibilities include:
Being the first point of contact for all internal/external enquires
Reviewing, filing and responding to emails and verbal enquiries on behalf of the Head of Resident Operations in a timely manner
Complex diary management
Coordinating national travel requirements car transfers
Scheduling of national village visits for Head of Resident Operations, liaising with village and resort teams in organising resident committee meetings, morning/afternoon teas and lunches
Liaising with the CEO Assistant and ensuring diaries align with village visits
Scheduling producing LIVE calls on teams
Working with the Resident Engagement team on customer complaints and acknowledging them in a timely and professional manner
Processing invoices and credit card expenses in a timely manner
Coordination of on-line staff communications
Providing high level administration support as required including managing meeting requests, preparing materials for meetings, booking meeting rooms, facilities, equipment, catering and services
Organising events with the team, including but not limited to, roadshows, end of year awards night and village of the year event and cascade communications to the team
Compiling, managing and distributing various documents to the business
Working closely with the other administrative teams at Keyton to coordinate training, events, communication and other activities
Assisting with ad hoc special projects as requested
About you:
Your experience in liaising with senior level executives, as well as having the ability to build rapport with various internal and external stakeholders will see you succeed in this role. As will:
Having a minimum of 3 years’ experience in an Executive Assistant role
Being highly organised and able to effectively manage and prioritise multiple tasks
Excellent computer skills including Microsoft Office, in particular Teams, PowerPoint, SharePoint and Excel
Strong interpersonal, communication and negotiation skills
Exceptional customer service
Maintaining a high level of professionalism at all times
Having a proactive, positive and flexible approach
Ability to work autonomously and prioritise
Ability to work well within a team environment
Highly motivated and able to take initiative
Demonstrates sound judgment and practical decision-making skills
Maintaining strict confidentiality, with the ability to handle sensitive information with integrity
