About the opportunity
Reporting to the ‘Executive GM, Community, Sustainability Stakeholder Engagement (CSSE)’, you will provide a wide range of office administration and business support in a highly professional manner.
You will have a strong ability to adapt to changing business requirements, demonstrate commercial acumen, and the ability to communicate and build strong relationships at various levels of the organisation.
You’ll also
Assist with project management, reporting, diary and travel management, document and correspondence management, meetings and event management, and the general day to day support of the EGM, CSSE
Manage the administrative functions for the EGM including diary management, meeting/ conference logistics etc
Building and establishing proactive relationships and networks with people across different locations, levels, and departments including EGM EAs
Take initiative to proactively identify opportunities for improvement, focusing on service, efficiency, and team improvement
Support the EGM in the preparation of conference presentations, Executive Committee and Board reports, and papers (including formatting to requirements and distribution in required timeframes)
Work closely with the CSSE Executive Manager to ensure the CSSE EGM office is running efficiently and effectively
Establish and maintain team information (including financial), documentation, and filing systems as required
Effectively manage and prioritise competing requirements to ensure stakeholder expectations are consistently met or exceeded whilst always operating collaboratively and cooperatively
Provide advice and support the implementation and administration of office policies and procedures
Deal professionally and discretely with confidential and sensitive information/ matters
Lead the CSSE EA team and work collaboratively to achieve team efficiency and excellence
Support key events and activities across the CSSE function
About you
Extensive knowledge and experience in providing a full range of administration support functions to senior executives
Experience working to tight deadlines and seeing tasks through to completion with minimal supervision
Ability to apply professional judgement as an Executive Assistant and maintain confidentiality with discretion
Advanced organisational skills and ability to manage conflicting priorities, planning and supporting events such as department meetings and conferences
Experience working in a demanding environment with a high attention to detail
