We are seeking for a full-time Event Coordinator to join our team.

Position Summary

The Event Coordinator at Shuk is responsible for overseeing the planning, coordination, and execution of a wide range of events, both on-site and off-site. This role involves working closely with clients, external event management teams, and internal stakeholders to ensure that each event meets the highest standards. The Event Coordinator handles all aspects of event management, including catering, signage, and special promotions, while also managing the marketing and promotion of these events. Additionally, the Event Coordinator is responsible for maintaining Shuk’s online presence, coordinating with the PR agency, and managing various digital platforms to enhance customer engagement and satisfaction. This role is key in driving the success of Shuk’s events and enhancing the brand’s visibility.

Key Responsibilities

Arrange and manage all Shuk events including private, off-site, on-site and special events, both small and large scale

Work with external event management and other stakeholders to coordinate events

Meet with clients via phone and in person to discuss their event needs and provide information on available services and packages

Respond to all phone and email inquiries related to events, services, equipment costs, catering, media, and related services

Coordinate the catering division, including answering and emailing customers, and communication with the SHUK managers and chefs for catering arrangements

Manage special event logistics. Create promotional event signage and coordinate with Factory General Manager the event special and its availability and price

Arrange and coordinate the signage, displays and transport for events

Arrange menus for events and for SHUK restaurants

Pre-order pastries for Bakery and Surry Hills for special events like Shabbat dinner

Manage the promotion of special events/days at Shuk including Jewish days/foods, Halloween, Father’s Day, Mother’s Day and other special events

Oversee Google reviews for events and SHUK restaurants each Monday and update Google when needed (store hours, events, specials)

Manage external apps used for events and SHUK restaurants including Hey You, Uber Eats, and Hungry Hungry

Oversee and remind managers to update prices, menus and public holiday surcharges on external apps

Manage the bookings platform for events and SHUK restaurants

Create special bookings via the booking platform for special events such as Kosher Night

Supervise TV screen content at Falafel and Surry Hills event details and daily information are updated

Coordinate Shuk social media channels. Monitor and respond to all messages on Instagram

Remind and assist the PR Agency in promoting special events and days at Shuk

Monitor the Shuk content plan from the PR agency and provide them with feedback

Order and coordinate Visaprint orders including loyalty cards and other printed material for special events and Shuk restaurants

Create and manage newsletters for special events

Maintain the Shuk website and set up all pre-orders for special events and days

Key Skill Requirements

Proven track record in managing events of various scales

Excellent verbal and written communication skills

Ability to manage multiple tasks and projects simultaneously

Experience in promoting events and managing social media

Skilled in building and maintaining client relationships

Familiarity with event management software and digital platforms

Ability to think on your feet and resolve issues quickly

The salary for the role is between $65,000 - $80,000, depending on experience.

Pay: $65,000.00 – $80,000.00 per year
