Position Summary

As a CRM and Document Control Analyst at CIR, you will be responsible for maintaining and optimizing our CRM system, ensuring data accuracy, and managing efficient document control processes. This role involves accurate data entry, generating insightful reports, streamlining workflows, and ensuring compliance with document management standards while collaborating with cross-functional teams to support operational excellence.

Core Responsibilities

CRM Management:
• Perform accurate data entry and regular updates of customer information, project information, and other records in the CRM.
• Maintain data accuracy by performing routine data cleaning, deduplication, and validation to ensure the CRM databases' completeness.
• Customize and configure CRM settings, workflows, and fields to meet the needs of different departments.
• Monitor CRM system performance, troubleshoot issues, and coordinate with vendors for technical support as needed.
• Create and maintain documentation related to CRM processes, data standards, and user guidelines.
• Generate and distribute reports to stakeholders, providing insights into data trends and opportunities.
• Train new users on CRM best practices, system functionalities, and data entry standards.
• Implement and manage data import/export procedures for bulk updates and integrations with other tools.
• Collaborate with cross-functional teams to optimize CRM workflows and support ongoing projects.

Document Control:
• Define and maintain folder structures in SharePoint, ensuring proper organization for document storage and retrieval.
• Automate folder management processes to enhance efficiency and streamline document handling.
• Develop and maintain a document management system for organizing both digital and physical documents.
• Define and implement file naming conventions and instruct the team on consistent usage for easy document identification and access.
• Control document versions, ensuring changes are tracked accurately, with proper revision history maintained.
• Ensure compliance with company policies and regulations regarding document retention and confidentiality.
• Provide support for project documentation, including reviewing, approving, and archiving documents as required.
• Assist in auditing document control procedures and implementing improvements as needed.

Education Requirements
• Bachelor’s degree in Business Administration, Information Management, or a related field

Technical Skills and Experience

Software Proficiency:
• Salesforce
• Monday.com
• QuickBase
• Procore
• SharePoint

Additional Requirement
• Familiarity with CRM customization, document management software, SharePoint, and version control practices.
• Basic understanding of data analysis and reporting tools.
• Technical troubleshooting skills and experience with data import/export processes.

Project Management:
• Experience in managing design projects from conception to implementation
• Ability to coordinate with other engineers and stakeholders

Renewable Energy Systems:
• Understanding of solar energy systems and their integration into existing infrastructure

Experience

7+ years of experience in Design/ Electrical engineering, with a focus on solar energy projects.

Psychosocial Skills /Human Skills/Behavioural Skills
• Strong attention to detail and accuracy in data management and document handling.
• Strong analytical, organizational, and problem-solving skills.
• Management experience a plus.
• Entrepreneurial mindset with the ability to take ideas and run with them from concept to conclusion.
• Technical understanding of clean energy business processes
• Exceptional verbal and writing communication skills with superiors, peers, partners, and other stakeholders.
• Excellent interpersonal skills while managing multiple priorities in a fast-paced and ever-changing environment.
